Business Automation · Seattle & Enumclaw, WA
Opal Systems builds custom automation systems for small and mid-size businesses so your team stops doing by hand what a machine can do in seconds.
Lead follow-ups. Client onboarding. Scheduling. Admin reporting. We map it, build it, and hand it off — in 1–3 weeks, fixed price.
No commitment. 30 minutes. We'll show you exactly what's possible.
The Cost of Doing It Manually
Most businesses we work with aren't failing because of bad products or bad people. They're failing to scale because their operations run on sticky notes, overflowing inboxes, and processes that live only in someone's head.
A new lead fills out your form at 9pm. Nobody knows until morning. By then, they've already booked someone else.
A new hire starts Monday. You spend their first three days walking through the same checklist you've walked every other hire through.
Sunday night. Manually sending reminders, updating spreadsheets, copying data between systems — again. None of this is real work.
"We were checking our Meta Ads leads manually, twice a day. We'd miss people by hours. That's not a $500 problem — that's lost jobs every week." — Junk removal business, Enumclaw WA
What We Do
Opal Systems is a done-for-you automation consultancy. We don't sell software subscriptions or generic tools. We map your actual workflow, find where time and money are leaking, and build a custom system that plugs those holes — using tools your team can actually run.
Every project is scoped in advance. Fixed price. No surprises.
| Your Problem | What We Build |
|---|---|
| Leads slip through because nobody got notified in time | Lead capture → instant alert → AI follow-up → CRM entry |
| Onboarding takes 3× longer than it should | Intake form → auto-filled documents → task assignments → portal access |
| Scheduling still happens over email | Booking page → confirmation → reminders → prep tasks triggered automatically |
| Reporting lives in a spreadsheet nobody trusts | Live dashboard → auto-populated → color-coded alerts |
| Content goes out manually every week | Blog post → auto-published to Instagram, LinkedIn, and Facebook |

Bridget and Roger were getting leads through Meta Ads, but no one was notified when a form came in. They checked manually twice a day — and by the time they called back, the lead had already booked a competitor.
A lead-to-follow-up system: the moment a Meta Ads form is submitted, they get an instant text alert. If they don't respond within 15 minutes, an AI voice call goes out to the lead automatically. Every lead is logged in their CRM.
Audrey was spending hours every week on email back-and-forth to schedule meetings, handwriting intake answers, and answering the same onboarding questions for every new client.
A full client onboarding and scheduling automation: an online booking page with calendar integration, an intake form that auto-populates her CRM, and a welcome sequence that answers common questions before clients even think to ask.
What It Costs
One thing every client tells us they're tired of: not knowing what something is going to cost until it's already over. We don't do that.
The best place to start if you're not sure where your biggest leverage points are. We go deep on your operations and deliver a written Process Blueprint — your 3 biggest automation wins, scoped and priced.
We build, test, and deploy your system. Scope defined in the Blueprint — no surprises. Includes documentation and a training session so your team runs it without us.
Your automation department on call — without the overhead of a full-time hire. Monitoring, fixes, optimizations, and new automations as your business grows.
Fixed price. No hourly billing. No surprises. Every project is scoped before work begins.
Common Questions
No. Everything we build is designed for your team to run, not for a developer to maintain. Handoff includes a training session and documentation. Most clients are self-sufficient within a week.
That's usually because it was set up once and never maintained. We build with reliability in mind — simple paths, tested edge cases, and clear alerts when something needs attention. And if you want ongoing support, we're available.
You could. The tools we use (Make.com, N8N, Airtable) are accessible to non-developers. But knowing the tool isn't the same as knowing how to map your specific process to it efficiently. The Workflow Audit alone typically surfaces $10,000–$50,000/year in recoverable time and leads — for $500.
Freelancers typically build what you ask for. We diagnose what you actually need first, scope it in writing, price it fixed, and hand it off with documentation. If you know exactly what you want built, Upwork is fine. If you need someone to figure it out first, that's us.
Totally fine — single-system builds are common. Most clients start with lead follow-up or onboarding because that's where the most money is leaking. We scope it in the Audit and you decide if the ROI makes sense before anything is built.
Usually the opposite. Small teams feel automation ROI faster because there's no slack to absorb inefficiency. If two people are spending time on admin that one system could handle, that's a meaningful percentage of your capacity recovered.
Who's Behind This
I'm Matt — founder of Opal Systems, based in the Enumclaw/Seattle area. Before I was building automation workflows, I was sitting across from business owners watching them describe problems I knew had clean, buildable solutions.
Opal Systems exists to close that gap: a consultancy that starts with your actual process, builds exactly what you need, and hands it off so your team owns it — not a vendor dependency that breaks when I'm unavailable.
I work with businesses between 5 and 100 employees — service companies, tradespeople, professional service firms — who are ready to stop running their growth on manual effort.
